    Good question. I'm planning to open a gym and I'm looking for a good software too. I guess that QUICK BOOKS is one of the most popular out there. However, is not user friendly. Xin Invoice has a free version but I haven't try yet. Would like to know what others use out there.

    If you have their credit card # you can just charge them each month -or when they reach the agreed upon # of sessions. The low tech way - "your at session #10 today - also works too.

    (Disclaimer: this comment is bias because I sell it as well as use it) I use the iPT's client management system. £15 a month, clients can book in for sessions, you can bill them before or after sessions, integrates with your website.

    I don't invoice - everyone knows the deal and signs off on every session, where it is very clearly indicated when their next payment is due. I take payments a month in advance.

    My software is a pen and a piece of paper (plus a spreadsheet where I keep my own track). It's free.

    I have an invoice template in OpenOffice and I give clients a copy if they request it. Pretty simple and doesn't take a lot of time. I keep a copy of every payment I take in for my records.
